From Spreadsheets to Streamlined

How United Bank Automated Compliance with Ncomply

"It's getting away from the manual processes — and I think that's where our biggest savings has been."

Thomas Williams, Chief Compliance Officer, United Bank

Founded in 1905, United Bank has spent more than a century serving Zebulon, Georgia. As the bank continues to grow, Thomas Williams, Chief Compliance Officer and 15-year veteran of the bank, knows the compliance program needs to grow alongside it.

The Challenge

Before Ncontracts, United Bank was running on manual processes. Compliance tasks lived in a sprawling collection of Excel files that were updated constantly and time-consuming to maintain. Regulatory newsletters and alerts were scattered in emails.

While the bank had considered other compliance management solutions, they weren’t built with financial institutions in mind. "You would look at other products maybe on a risk assessment level and they had a great risk assessment product, but it wasn't catered to banks," Thomas explained. "You were trying to engineer something into making it work."

The Solution

With Ncontracts, United Bank found a platform purpose-built for banks — one that offered value from day one.

The centerpiece for Thomas is Ncomply, the compliance management system that replaced the bank’s inbox-and-spreadsheet approach. Rather than monitoring a dozen newsletters and manually tracking what's relevant, Ncomply pulls regulatory updates into one centralized location where Thomas and his team can manage and communicate that information across the organization.

"You subscribe to all these newsletters and emails, but what Ncontracts does is take that and put it all into one place from the CMS management side of things."

That automation spans from lending compliance to the CMS — putting data in one centralized location and creating efficiencies across the compliance function. United Bank also relies on Nrisk, Nvendor, Nlending, Nboardportal, Nconnect, and Nlending CRA Transmittal and HMDA Transmittal, giving the compliance function a connected suite of solutions rather than many disconnected tools.

The Results

Moving off manual processes changed what compliance at United Bank could accomplish — and the results speak for themselves.

The spreadsheet burden is gone. Where Thomas once managed an assortment of Excel files, data now lives in one place and stays updated across the compliance function. "It's getting away from the manual processes — and I think that's where our biggest savings has been."

Examiners recognize a well-organized CMS. "The examiners have liked that side of it — seeing how we've got everything centralized, how we can manage it, how we can communicate that information out."

Reporting that proves the program's value. It's not just about doing better work but demonstrating it, says Thomas. "Being able to update easily, being able to streamline reports, being able to give them information, show them what we're doing, show how much we're doing — that's how you can validate."
